We're a small team running small hotels, and we treat your information the way we treat your stay: with care, and only what's needed.
We never sell your information. Not to anyone, not ever.
Our rates are set by date and demand, not by who you are. Everyone sees the same price for the same room on the same night. Now and then we'll send you a special offer, and you can always opt out of those.
We remember returning guests. So we can welcome you back properly, and so we know what you liked last time.
We use trusted tools to run the inn, including our reservation system, email, payments, and some AI tools that help us plan and write. They work for us under contract. Advertising partners like Meta and Google receive limited, scrambled information to measure our ads, and you can opt out.
Our marketing emails are opt-in or short-lived. One click unsubscribes you.
You're in control. Ask to see, fix or delete what we hold, any time, at privacy@somewhereinn.ca.
The full details are below.
We are Somewhere Inn Calabogie, 5254 Calabogie Rd, Calabogie, ON K0J 1H0, and Somewhere Inn Collingwood, 128 Saint Paul St, Collingwood, ON L9Y 4X9. This policy covers our website (somewhereinn.ca), including the booking calendar on it and the booking pages it takes you to, our properties, and how we talk with you by email, text, phone and social media.
We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for guests in Quebec, Quebec's Act respecting the protection of personal information in the private sector.
Our Privacy Officer is responsible for how we handle personal information. You can reach them at privacy@somewhereinn.ca.

We don't collect government ID. The only health information we ask for is allergies and dietary needs, and telling us is optional. We use it only to look after you, keep it on your guest profile so we can do the same on future stays, and will remove it whenever you ask.
To take, change and manage your booking, and to look after you during your stay.
To take payment, prevent fraud, and keep our accounts and tax records.
To register you as a guest, and to keep a record that you agreed to our terms and, if you use our gear, our accident waiver.
To prepare for your arrival and stay, including your allergies and dietary needs, parking and dogs.
To recognise returning guests across our properties, so we can welcome you back and remember your preferences. We do this by matching your phone number and email across stays, including stays you booked through a travel site.
To send you emails about your stay, and marketing emails if you've agreed to them or if the law allows it (section 9).
If you start a booking and don't finish, to send you a single follow-up email about the dates you were looking at.
To measure and improve our ads, our website, and our pricing.
To keep our guests, team and properties safe (section 8).
To meet legal obligations.
How we set prices. Our rates are set by date, season and demand across all guests. We don't set or change a rate based on who you are, your browsing, or your booking history. We may send you targeted offers, such as a code for dates you were looking at, and you can opt out of those any time.
We use artificial intelligence tools to help run the business. Today that includes analysing booking trends and forecasting demand, helping set rates (by date and demand, never by individual guest), and helping our team draft messages, emails and content. A person at Somewhere Inn reviews and is responsible for what we send you.
Our AI providers process information for us under contract, may only use it to provide their service to us, and may not use it to train their models. We share only what a task needs, and we don't use AI to make decisions that have a legal or similarly significant effect on you.
We never sell personal information. We share it only as needed with:
Service providers who run parts of our business for us: our reservation system (Mews), payments and point-of-sale (Square and our card processors), email (Drip), guest messaging (Akia), website hosting, booking calendar and security (Cloudflare), data storage, records and analytics (Google), and AI providers. They're bound by contract to protect your information and use it only for us.
Advertising and measurement partners (Meta and Google). When you book, we send them a scrambled (hashed) version of your email and phone with the booking value, so we can tell whether our ads work and show them to people likely to be interested. You can opt out (section 7).
Travel sites and partners you booked through, for that booking only.
Partners you ask us to involve, such as a restaurant reservation or an event vendor.
Authorities or advisers when the law requires it, or to protect our rights, guests or team; and a buyer or successor if our business or a property is sold, under the same protections.
Our website and booking engine use cookies and similar tools:
Essential ones that make booking work.
Analytics (Google Analytics) to understand how the site is used.
Advertising (Meta Pixel, Google Ads) to measure our ads and show them to people who've visited us.
You can block or delete cookies in your browser, opt out of personalised ads in your Google and Meta settings, or ask us to stop sending your booking details to advertising partners by writing to privacy@somewhereinn.ca. Our site doesn't currently respond to browser "Do Not Track" signals.
CCTV. We use video cameras in some common areas, entrances, parking and outdoor spaces, marked by signs, to keep guests, our team and our properties safe. There are never cameras in guest rooms or washrooms. Footage is kept for 30 days and then overwritten unless we need it for an incident, an insurance claim or a legal request. Only our management team can view it.
In-room cameras. Some rooms have a disposable camera for guests to add to a shared "guest book." Using it is optional. By taking photos, you agree we may share some of them on our social media and in printed keepsakes. We don't post photos where children can be identified, and we'll remove any photo of you on request. Photos from these cameras may include previous guests of the same room, so please don't photograph anything private.
We follow Canada's Anti-Spam Legislation (CASL). We send marketing emails when:
you've said yes (for example, by ticking the box when you book or sign up), which lasts until you unsubscribe; or
the law lets us without asking: for up to 2 years after a stay or purchase, or up to 6 months after you make an enquiry or start a booking.
Every marketing email has an unsubscribe link, and we act on it within 10 business days. We'll still send messages about a booking you've made. Text messages are covered by our SMS messaging terms.
Reservation and payment records: 7 years, for tax and accounting.
Check-in records, signatures and accepted waivers: 6 years.
Allergies and dietary needs: On your guest profile (up to 3 years after your last stay), or until you ask us to remove them.
Guest profile and preferences: While you're an active guest, and up to 3 years after your last stay.
Unfinished bookings: 6 months.
Enquiries that don't book: 2 years.
Marketing list: Until you unsubscribe, or until the time limits in section 9 run out.
CCTV footage: 30 days, unless needed for an incident.
Guest-book photos: Until you ask us to remove one.
After that, we delete it or make it anonymous.
We're based in Ontario, but some of our providers store or process information outside Canada, mainly in the United States and the European Union. While it's there, it may be accessible to courts and authorities in those countries. We choose providers carefully and require them by contract to protect it to a standard comparable to Canadian law.
We limit access to the people who need it, use secure, encrypted systems and two-step sign-in, and keep payment card handling with certified payment processors. If a breach creates a real risk of significant harm, we'll notify you and the Privacy Commissioner as the law requires.
Wherever you live, you can ask us to:
show you the personal information we hold about you, and how we've used and shared it;
correct anything that's wrong;
delete it, unless we have to keep it (for example, tax records);
stop marketing to you, or stop sending your details to advertising partners; and
withdraw consent you've given, on reasonable notice.
Email privacy@somewhereinn.ca. We'll reply within 30 days, and we may need to confirm who you are first. If you're not satisfied, you can contact the Office of the Privacy Commissioner of Canada, or for Quebec residents, the Commission d'accès à l'information du Québec.
Our website and bookings are for adults. We don't knowingly collect information from children except what a parent or guardian gives us as part of a booking.
We'll update this policy as the way we work changes, and change the date at the top. If a change is significant, we'll say so on our website and, where appropriate, by email.
